How to Plan a School Magic Assembly in NYC

A school magic assembly needs more than an open slot in the timetable. The useful starting points are the pupils’ ages, audience size, room layout and the time available for getting everyone in and out. Agree those details first, then build the performance around the school day.

Start with the audience and purpose

Tell your performer which grades or ages will attend and the approximate number of children and adults. A mixed-age camp group and a single-grade assembly need different pacing. For a large age range, ask whether separate performances would work better than one combined session.

Describe the occasion: an end-of-term celebration, family event, camp activity or another school gathering. If you want a particular theme or learning connection, discuss it before booking. Do not assume a celebration show includes a curriculum lesson.

Build the schedule around transitions

Reserve time for classes to arrive, sit down and leave in addition to the agreed show length. Check lunch, dismissal, transport and other activities that share the space.

  • Arrival: Bring classes in using the school’s usual supervised routine. Allow a settling-in window appropriate to your group.

Choose a room where every child can see

A gym, hall or multipurpose room can work if sightlines and access are planned. Describe the floor surface, available seating, stage if any, and the position of the nearest power outlet. Share room photos or a simple layout when possible.

  • Face seating toward one performance area, with a clear route for volunteers.
  • Keep entrances, exits and accessible routes clear under the school’s normal procedures.
  • Tell us about bright windows, noisy neighboring activities or shared rooms.
  • Confirm sound equipment needs based on the space and audience size.
  • For outdoor plans, agree a workable indoor weather backup.

Make participation comfortable

Explain any access or sensory considerations before booking. Share practical preferences—such as clear advance instructions, flexible participation or a supervised quiet-break option—without sending unnecessary private information about individual pupils.

Name one school contact for the day

Choose a person who can meet the performer, explain access and communicate timetable changes. Give staff the agreed arrival and performance times before the event. School or camp staff remain responsible for supervision and the setting’s safeguarding procedures.

Ask your office which visitor checks, insurance documents, purchasing paperwork or payment arrangements are required. Confirm requirements and lead times with the performer before booking; requirements differ by setting.
